A great wedding day doesn’t just happen, it’s built on a thoughtful timeline. Having a clear plan keeps everyone on the same page and helps the day feel calm, not chaotic. Whether you’re building your own or working with a coordinator (hi!), here’s what to include in your timeline and why it matters.
Start with the Ceremony Time
Everything revolves around this moment. Once you know your ceremony start time, you can work backward and forward to fill in the rest.
Prep & Beauty
What to include:
- Hair & makeup start and end times
- Who goes first and who goes last
- When photographers arrive for “getting ready” shots
- Time buffer for touch-ups or delays
Tip: Add at least 30 minutes of buffer between finishing hair/makup and putting on your dress. You’ll appreciate the breather.
Getting Dressed & Final Touches
- Time for the bride to get into the dress (usually 20-30 minutes)
- Detail shots of the dress, rings, invitations, etc.
- Time for any gifts, letters, or “first looks” with family
Photos (Before & After)
If you’re doing a first look, schedule:
- Couple’s portraits
- Wedding party photos
- Family photos (if possible, these often happen during cocktail hour)
If you’re waiting until after the ceremony for all photos, make sure you ahve enough time during cocktail hour for the above.
Don’t forget about sunset timing if that is important to you!
Transportation & Travel Time
- Buffer time for shuttles, rides, or delays
- Extra padding if traveling between venues
Ceremony Timeline
- Seating guests (start this 20-30 mintues before ceremony)
- Processional order
- Ceremony start and end time
- Any special traditions or music cues
Cocktail Hour & Reception
- Cocktail hour (ideal for post-ceremony photos and guest mingling)
- Reception events: Grand entrance, dinner, toasts, first dances, cake cutting
- Dance party time!
- Final send-off and breakdown
Tip: Think about the flow, avoid cramming all the special moments into the first hour. Let your night breath.
A Few Final Thoughts:
- Build in buffer time. Something will run late so give yourself grace in the schedule.
- Share it! Your coordinator, vendors, and wedding party should all have a copy.
